From Shopify Checkout to Dispatch: How 3PL With Same Day Shipping Australia Works
What actually happens between a customer clicking "Buy Now" on your Shopify store and their parcel leaving the warehouse the same day? Here is the full journey — and why your 3PL integration makes or breaks it.
From Shopify Checkout to Dispatch: How 3PL With Same Day Shipping Australia Works
Your customer clicks "Place Order" at 9:47am. By 2:30pm, their parcel is scanned by a courier and on its way. That's same-day dispatch — and for Australian eCommerce brands competing with Amazon and large retailers, it's increasingly a baseline expectation rather than a premium feature.
But how does it actually work? What happens in the hours between a Shopify checkout and a parcel leaving the warehouse? And what does your 3PL integration need to look like to make same-day dispatch reliable at scale?
This is the full story.
Why Same-Day Dispatch Matters
Before we get into the mechanics, it's worth understanding why same-day dispatch has become so important for Australian eCommerce brands.
Customer expectations have shifted Amazon Prime has trained Australian consumers to expect fast delivery. When a customer can get a product from Amazon in 1–2 days, a 3–5 day dispatch window from a competitor feels unacceptably slow. Same-day dispatch doesn't guarantee next-day delivery, but it gets you as close as possible.
It reduces cart abandonment Research consistently shows that delivery speed is one of the top factors in purchase decisions. Displaying "Order before 2pm for same-day dispatch" at checkout reduces hesitation and increases conversion — particularly for time-sensitive purchases like gifts, replacements, and urgent needs.
It builds trust and repeat purchases A customer who orders at 10am and receives a dispatch notification by 3pm has an immediate, tangible proof point that your brand delivers on its promises. That experience builds the kind of trust that drives repeat purchases.
The Journey: Shopify Checkout to Dispatch
Here's exactly what happens when a customer places an order on your Shopify store and your fulfilment is handled by a 3PL with same-day dispatch capability.
1. Order Placed (T+0 minutes)
The customer completes checkout on your Shopify store. Shopify processes the payment and creates an order record in your store's admin.
At this moment, the clock starts on your same-day dispatch SLA.
2. Order Synced to 3PL WMS (T+1 to 5 minutes)
Your Shopify store is connected to your 3PL's warehouse management system (WMS) via a real-time API integration. Within minutes of the order being placed, it appears in the 3PL's WMS with all the relevant details:
- Customer name and shipping address
- SKU(s) ordered and quantities
- Any special instructions (gift wrapping, personalisation, etc.)
- Shipping method selected by the customer
This is where integration quality matters enormously. A real-time integration means the order is in the warehouse queue within minutes. A batched integration — where orders are synced every hour or every few hours — can mean an order placed at 9am doesn't reach the warehouse until 11am, making same-day dispatch impossible.
At EShipWay, our Shopify integration is real-time. Orders appear in our WMS within 1–3 minutes of being placed.
3. Order Allocated and Pick List Generated (T+5 to 15 minutes)
The WMS automatically allocates the order to the appropriate warehouse location(s) and generates a pick list for the warehouse team. The pick list tells the picker:
- Which shelf or bin location to go to
- Which SKU to pick
- How many units to pick
- The order priority (e.g. express orders are flagged for priority picking)
In a well-organised warehouse, the pick list is optimised to minimise travel time — grouping picks by warehouse zone so the picker doesn't zigzag across the floor.
4. Picking (T+15 to 45 minutes)
A warehouse team member picks the items from the shelf, scanning each item's barcode to confirm the correct SKU and quantity. The scan updates the WMS in real time, confirming the pick and decrementing the inventory count.
If there's a discrepancy — the item isn't where it should be, or the quantity is wrong — the WMS flags it immediately and alerts the account manager. This is far better than discovering the error after the order has been packed and dispatched.
5. Packing (T+45 to 90 minutes)
The picked items move to the packing station. The packer:
- Selects the appropriate packaging (satchel, box, or custom branded packaging)
- Adds any required inserts (marketing cards, thank-you notes, gift messages)
- Packs the items securely with appropriate void fill
- Applies the shipping label, which is generated automatically by the WMS based on the customer's address and selected shipping method
- Scans the packed order to confirm it's ready for dispatch
The shipping label is generated using your pre-negotiated carrier rates. For most domestic orders, this will be Australia Post, StarTrack, Couriers Please, or Sendle — depending on the destination, weight, and your carrier preferences.
6. Dispatch Scan and Carrier Handover (T+90 minutes to cut-off)
Packed orders are staged in the dispatch area, sorted by carrier. At the carrier pickup time (typically between 2pm and 4pm for same-day dispatch), each parcel is scanned by the carrier driver and loaded onto the vehicle.
The dispatch scan is the moment the parcel officially enters the carrier's network. This triggers:
- A tracking number update in your 3PL's WMS
- An automatic tracking number upload to your Shopify order
- An automated dispatch notification email to your customer (if configured)
From this point, the parcel is in the carrier's hands.
7. Customer Notification (T+dispatch)
Your customer receives an automated email or SMS with their tracking number and a link to track their parcel. This is typically sent automatically by Shopify when the tracking number is added to the order, or by your 3PL's system if you've configured automated notifications.
For most domestic destinations, the parcel will be delivered within 1–3 business days from dispatch.
What Makes Same-Day Dispatch Possible (and What Breaks It)
Same-day dispatch is not magic — it's the result of several operational factors working together:
Real-time order integration As discussed above, batched integrations kill same-day dispatch. Your 3PL must have a real-time connection to your Shopify store.
Sufficient warehouse staffing Same-day dispatch requires enough warehouse staff to process orders as they come in throughout the day, not just in a single batch. A 3PL that processes all orders in one afternoon run cannot offer genuine same-day dispatch for morning orders.
Organised warehouse layout A well-organised warehouse with clear bin locations and optimised pick paths is essential for fast order processing. A disorganised warehouse adds minutes to every pick, which compounds across hundreds of daily orders.
Early carrier cut-off times Your 3PL needs to have carrier pickup times that allow for same-day dispatch. Most carriers offer pickups between 2pm and 5pm. Your 3PL's same-day cut-off time should be at least 1–2 hours before the carrier pickup to allow for picking, packing, and staging.
Accurate inventory Same-day dispatch is impossible if your inventory data is inaccurate. If the WMS says an item is in bin A3 but it's actually in bin B7 (or not in the warehouse at all), the pick fails and the order is delayed.
EShipWay's Same-Day Dispatch Process
At EShipWay, same-day dispatch is a core part of our service offering, not an optional add-on. Our process includes:
- Real-time Shopify integration — orders appear in our WMS within 1–3 minutes of being placed
- Same-day cut-off — orders placed before our daily cut-off time are dispatched the same business day
- Dedicated picking and packing team — we process orders throughout the day, not in a single batch
- Automated tracking upload — tracking numbers are uploaded to your Shopify store automatically on dispatch
- Automated customer notifications — your customers receive dispatch notifications without any manual action from your team
We work with Australian brands across fashion, beauty, health, homewares, and more — and we've built our operations around the expectation that same-day dispatch is the standard, not the exception.
